Job Title: Office Administrator
Position Summary: The Office Administrator is responsible for supporting the administrative operations of the church, ensuring efficient office management, communication, and organization. This individual will assist the pastoral staff, manage church records, coordinate events, and provide exceptional service to church members and visitors.
Key Responsibilities:
• Administrative Support: Provide secretarial and clerical support to the pastoral team, ministry leaders, and church staff. Attend staff meetings when requested.
• Communication Management: Answer phone calls, respond to emails, and handle correspondence in a professional and timely manner. Maintain regular communication with church members and visitors.
• Office Organization: Manage and maintain church records, including membership rolls, financial records, and ministry details. Organize and update church databases.
• Scheduling & Event Coordination: Assist in scheduling meetings, events, and appointments for the pastoral staff. Coordinate church events, including worship services, community outreach, and special programs.
• Bulletin and Newsletter Preparation: Prepare church bulletins, newsletters, and announcements. Ensure accurate and timely communication of church activities and upcoming events.
• Mail Distribution: Receive, sort, and distribute incoming mail for both the church and the school. Ensure timely delivery of important documents and correspondence to the appropriate staff members.
• Office & Church Supply Ordering: Maintain inventory of office and church supplies. Order and stock necessary materials, including office paper, giving envelopes, communion supplies, and other church-related items.
• Financial Assistance: Help manage the church's financial records, including tracking donations, offering reports, and preparing financial reports for leadership review.
• Recordkeeping and Filing: Maintain a filing system for church documents, including records of baptisms, weddings, and other ceremonies, ensuring confidentiality and accuracy.
Skills & Qualifications:
• Strong Communication Skills: Excellent written and verbal communication skills.
• Organization: Highly organized with the ability to multitask and prioritize responsibilities.
• Proficient in Office Technology: Experience with QuickBooks, office software (Word, Excel) and basic office equipment (phone systems, copiers, etc.).
• Attention to Detail: Ability to manage tasks with accuracy and completeness.
• Discretion and Confidentiality: Respect for sensitive information and the ability to handle confidential matters.
• Interpersonal Skills: Friendly, approachable, and able to work well with staff, volunteers, and church members.
Education & Experience:
• High school diploma or equivalent required. Accounting degree or relevant experience preferred.
• Minimum two years of previous administrative or office experience, ideally in a church or nonprofit setting.
Work Environment:
• Part-time position, with the opportunity to transition into a full-time position, depending on church needs. Schedule will be: Monday – Thursday, 5 hours per day.
• Office environment with occasional evenings or weekends required for special events.
